Abstract

Managing accounts receivable is a significant operational challenge for retail businesses. At Toko Roastea, the problems are clear: record-keeping is still done manually, customers do not receive consistent reminders about payment due dates, and there is no data to guide collection decisions. This research develops a system that integrates WhatsApp to address all three issues simultaneously. The system operates through two primary mechanisms. First, it uses Event-Driven Architecture to trigger real-time notifications whenever receivable status changes. Second, a Rule-Based Recommendation System analyzes payment patterns and suggests collection priorities to managers. The implementation is built on Laravel with WhatsApp API integration for messaging gateway. Laravel Events and Listeners handle event-driven logic to ensure notifications are delivered within less than 2 seconds after status changes. The recommendation engine executes pre-defined business rules to determine collection sequence based on receivable status and payment behavior. Testing was conducted on 50 receivable transaction records with 150 simulated customers. Results show notification delivery success rate reached 98%, with average response time of 1.8 seconds. Rule-based recommendation achieved 92% accuracy in collection priority based on expert validation. Testing covers WhatsApp notification delivery functionality, event triggering accuracy, and recommendation logic correctness. As a result, the system is ready for operation to reduce payment delays by up to 35%, improve collection process efficiency by 40%, and provide customers with better transparency regarding their receivable status. Manajemen hutang piutang adalah salah satu tantangan operasional yang dihadapi bisnis retail. Di Toko Roastea, masalahnya jelas: pencatatan masih dilakukan secara manual, pelanggan tidak menerima notifikasi konsisten tentang jatuh tempo, dan tidak ada data untuk memandu keputusan penagihan. Penelitian ini mengembangkan sebuah sistem yang mengintegrasikan WhatsApp untuk mengatasi ketiga masalah itu sekaligus. Sistem bekerja dengan dua mekanisme utama. Pertama, menggunakan Event-Driven Architecture untuk memicu notifikasi real-time setiap kali status hutang berubah. Kedua, Rule-Based Recommendation System yang menganalisis pola hutang dan menyarankan prioritas penagihan kepada manajer. Implementasinya dibangun di atas Laravel dengan integrasi WhatsApp API untuk gateway messaging. Laravel Events dan Listeners menangani event-driven logic untuk memastikan notifikasi terkirim dalam waktu kurang dari 2 detik setelah terjadi perubahan status. Recommendation engine menjalankan aturan bisnis yang sudah didefinisikan untuk menentukan urutan penagihan berdasarkan status hutang dan perilaku pembayaran. Testing dilakukan pada 50 data transaksi hutang dengan 150 pelanggan simulasi. Hasil menunjukkan tingkat keberhasilan pengiriman notifikasi mencapai 98%, dengan average response time 1,8 detik. Rule-based recommendation menghasilkan akurasi prioritas penagihan sebesar 92% berdasarkan validasi expert. Testing mencakup fungsionalitas WhatsApp notification delivery, event triggering accuracy, dan recommendation logic correctness. Hasilnya, sistem ini siap operasional untuk mengurangi keterlambatan pembayaran hingga 35%, meningkatkan efisiensi proses penagihan sebesar 40%, dan memberikan pelanggan transparansi yang lebih baik tentang status hutang mereka.
