Abstract

ABSTRACT In line with the restructuring and transformation of PT Pertamina Trans Continental, which requires changes in all lines, the document management and storage system, both in correspondence and archives, which has been applied is deemed necessary to adapt to the development of the company's business and the development of information technology. The company's goal to become a superior company needs to be supported by efforts to improve the effectiveness and work productivity, one of which is by utilizing information technology in internal correspondence activities. Internal correspondence system that has been run still use paper (hardpaper), need to be reduced gradually become paperless office. To answer the Company's need for paperless office, the author analyzes the ongoing manual correspondence system and tries to design an electronic correspondence system (e-Correspondence). By using this e-Correspondence application is expected to facilitate the workers in carrying out correspondence and document management in order to support paperless office. There is also the purpose of e-Correspondence is the realization of uniformity in the orderly administration and management of correspondence within the Company, accelerate the flow of communication and correspondence within the Company's internal environment, facilitate the delivery or acquisition of data or information quickly, accurately and completely, facilitate workers in correspondence and document management, maintaining the confidentiality of data and information, saving the cost of storage and distribution / delivery and reproduction, increasing the effectiveness and productivity of work by creating paperless office in order to support the company as a superior company. Keywords: Correspondence System, Entry Document, Exit Document, Disposition Document ABSTRAK Sejalan dengan restrukturisasi dan transformasi pada PT Pertamina Trans Kontinental yang menuntut adanya perubahan di semua lini, maka sistem pengelolaan dan penyimpanan dokumen, baik dalam korespondensi maupun kearsipan, yang selama ini diterapkan dipandang perlu untuk disesuaikan dengan perkembangan bisnis perusahaan dan perkembangan teknologi informasi. Tujuan perusahaan untuk menjadi perusahaan unggul perlu didukung dengan upaya meningkatkan efektivitas dan produktivitas kerja, yang salah satunya adalah dengan memanfaatkan teknologi informasi dalam kegiatan korespondensi internal. Sistem korespondensi internal yang selama ini dijalankan masih banyak menggunakan kertas/hardpaper, perlu dikurangi secara bertahap menjadi paperless office. Untuk menjawab kebutuhan Perusahaan akan paperless office, penulis menganalisa sistem korespondensi manual yang sedang berjalan dan mencoba merancang sistem korespondensi secara elektronik (e-Correspondence). Dengan menggunakan aplikasi e-Correspondence ini diharapkan memudahkan para pekerja dalam melaksanakan korespondensi dan pengelolaan dokumen dalam rangka mendukung paperless office. Ada pun tujuan dari e-Correspondence ini adalah terwujudnya keseragaman dalam tertib administrasi dan tatalaksana surat-menyurat di lingkungan Perusahaan, mempercepat alur komunikasi dan korespondensi di lingkungan internal Perusahaan, memudahkan penyampaian/perolehan data atau informasi secara cepat, tepat dan lengkap, memudahkan pekerja dalam hal korespondensi dan pengelolaan dokumen, menjaga kerahasiaan data dan informasi, menghemat biaya penyimpanan dan distribusi/pengiriman dan reproduksi, meningkatkan efektivitas dan produktivitas kerja dengan menciptakan paperless office dalam rangka mendukung perusahaan sebagai perusahaan unggul.
