Abstract

ABSTRACT BPK PENABUR Jakarta is an institution that engaged in education, which in both of keeping documents for incoming mail, outgoing mail, or other documents were still done manually by the secretary. The secretary is keeping the document inside a cabinet or they keeping it in the computer and save it separately by the document’s type. Therefore in order to maintain and keeping a physical documents needs a very large room. As for scope in this thesis includes the stage of creating an application program for archived documents according to the process flow design of the application program in BPK PENABUR Jakarta. The manual process flow design will be apply into the application program for archived documents and designing a web portal as an application to using this kind of information system. The method that been used for this study is a model of software development called Water Fall. In the 1960s and 1970s, the development project for a software was cost a lot of time and money because of it’s focus on planning and control (Basili and Moses, 1991). The main results of the applied system is to improving the performance of each division in BPK PENABUR Jakarta that perform the archived data processing and maintaining the archived data management. With performing the development of document management ourselves, the company does not need to use the archive services and or filling services from any other company because if we do, we will need to spare more money for the routine expenses in every year. For the future development we can prioritize the database maintaining process that cover up the data back up process and database management to prevent the data stacking that caused by the web performance itself. Keywords: Application Program Web-Based Document Archiving In BPK PENABUR Jakarta ABSTRAKSI BPK PENABUR Jakarta sebagai institusi yang bergerak dibidang pendidikan, dalam penyimpanan dokumen baik surat masuk, surat keluar dan dokumen lainnya masih dilakukan secara manual yang dikerjakan oleh sekretaris. Sekretaris menyimpan dokumen dalam lemari atau disimpan dalam folder komputer sekretaris yang dipisahkan berdasarkan jenis dokumen. Oleh karena itu penyimpanan arsip secara fisik menimbulkan kendala dalam proses pencarian dan memerlukan ruangan pengolah dan penyimpan yang sangat besar. Adapun ruang lingkup dalam penulisan mencakup tahapan pembuatan aplikasi program pengarsipan dokumen secara rancangan flow/alur proses aplikasi program pengarsipan dokumen di BPK PENABUR Jakarta, alur flow sistem manual akan diterapkan kedalam aplikasi program pengarsipan dokumen dan merancang dan membuat web portal sebagai aplikasi yang akan digunakan untuk sistem informasi tersebut. Metode yang digunakan untuk penelitian ini adalah model pengembangan perangkat lunak Water Fall (Air terjun). Pada tahun 1960-an dan 1970-an, proyek pengembangan perangkat lunak merupakan pekerjaan yang sangat memakan biaya dan waktu karena pengembangan perangkat lunak ini difokuskan pada perencanaan dan pengendalian (Basili dan Musa, 1991). Hasil utama yang diperoleh dari implementasi sistem ini adalah meningkatkan kinerja dari Divisi/Bagian yang melakukan pengolahan data arsip dan kerapihan tata kelola arsip. Dengan manajemen arsip yang dikembangkan sendiri, instansi/perusahaan tidak perlu menggunakan jasa Archiving atau manajemen filing dari pihak luar karena akan mengeluarkan biaya rutin setiap tahunnya untuk jasa pengarsipan tesebut. Untuk pengembangan dimasa yang akan datang lebih mengutamakan kepada proses pemeliharaan database yang meliputi proses backup data dan manajemen database karena tidak menutup kemungkinan dalam kurun waktu 2-5 tahun kedepan akan terjadi penumpukan data yang berakibat terhadap kinerja dari web itu sendiri.
